Dictation Etiquette

The length of time taken to transcribe tapes varies enormously, dependent on the following factors:
  • clarity of the recording
  • clarity of the speaker(s)
  • content of the recording
  • number of people speaking

To keep transcription time to a minimum, try to bear in mind the following points:
  • speak clearly, slowly and at an audible level
  • record in a quiet environment
  • spell out any technical words, names, etc.
  • start recording well before you speak



How to send Dictation

If you have a digital system already on your office intranet, this service is just an extension of that. All you need to do is dictate as normal (please always include the spelling of any names and addresses) then:

1. Download your dictation to your computer to create the voice file as usual;

2. Create an email addressed to HeavenSent Typing Services (bronwen@heavensent.net.nz)

3. Navigate your way to where the voice file is kept on your hard drive;

4. Attach the voice file to the email together with any precedents you wish to be used;

5. Then send!!


Once the email is received, it is typed and emailed back to you.

For HeavenSent Typing Services to be able to transcribe your dictation, the voice files must be sent as either a .DSS file (Olympus Digital Speech Standard format) or as a .WAV file (Wave Sound format).
